In the realm of technology and business operations, organizations are always on the lookout for methods to refine their systems and enhance efficiency.

  • Diverse Departmental Needs: For instance, healthcare providers often utilize the same Electronic Health Records (EHR) system across multiple departments such as billing, scheduling, and clinical operations. Each department, however, might benefit from a tailored interface that simplifies and optimizes their specific workflows.
  • Legacy Systems with High Switching Costs: Many organizations operate on deeply entrenched systems where transitioning to new software could disrupt operations and incur high costs. An enhanced interface allows for significant improvements without the need to replace the core system.
  • Functional Gaps in Core Systems: Core systems like CRMs and EHRs might lack specific functionalities or suffer from usability issues in areas crucial to certain operations. Enhancing the interface can address these gaps effectively.

Benefits of Enhanced Interfaces

The adoption of enhanced interfaces offers numerous advantages:

  • Improvement in Efficiency:  A user interface built to optimize the key workflows for departments that may have labor intensive tasks can see tasks go from say 5 minutes to seconds when done right.  We recently worked with an ABA to automate its cancellation process from 10 minutes to 15 seconds. Considering that they process hundreds of cancellation and rescheduling tasks per day, the time savings was staggering. 
  • Improving User Experience: The updated interface boosts users’ experiences by being easier to use. For example, customized home screens and dashboards built for each department can enhance the user experience greatly. Enhancing user interfaces is crucial, but equally important is understanding how users interact with those interfaces. By leveraging real user monitoring RUM solutions, businesses can gain insights into end-user performance issues faster, optimizing outcomes and troubleshooting more effectively.
  • Reduced Errors for the User: A good software interface design reduces the potential for user misunderstandings and errors, therefore improving productivity and user experience. Because the software is designed for each user a key benefit we see is a reduction in errors.

Challenges of Implementing Enhanced Interfaces

Designing an effective interface involves balancing aesthetic appeal with functionality, which can be challenging. It requires ongoing innovation, adaptation to changing user expectations, and alignment with technological advancements. Additionally, technical integration through APIs or RPA can be complex and resource-intensive.  If you are considering adding a custom interface, consider the following:

  1. Do you have defined workflows for the major tasks that will be tackled by the new interface?  If the answer is no, fear not a good software development firm will map these workflows out often improving the process along the way. If you do have these key tasks defined then it will save you money.
  2. Does the core system that your new interface works with have APIs?  APIs allow developers to integrate the system with other applications or tools.  APIs allow for a more modular and flexible system.  If your system does NOT have APIs, fear not, Robotic Process Automation (RPA) can be utilized but it will be more costly and difficult. 
  3. How “clean” is your data? If the data that the enhanced interface is pulling in to automate tasks isn’t accurate, then the developer and or your team will need to spend time cleaning that data up. For example, we recently added functionality to calculate drive times for mobile physician group and found that 25% of their patient addresses were incorrect so this needed to be fixed before we could activate this new functionality.
