Introducing Rewind Copy for QuickBooks Online

Duplicating client files has always been a time consuming, manual process. The new Rewind Copy feature for QuickBooks Online allows users to automatically copy data from one company file to another in one click.

Bookkeepers and Accountants can use Copy to:

  • Easily transfer client files.
  • Onboard new clients faster using ready-to-use templates with standardized chartered accountant settings.
  • Quickly set up sandbox environments to train new employees or test new applications and integrations, without affecting a client’s live file.
  • Delivering an isolated copy to an audit team.
  • Create a clean set of statements, which get bulky and unorganized over time.

There’s no need for tedious data entry, letting accountants, bookkeepers, and firms put their time to better use in service of their clients.

Best of all, this feature is available in a beta form today.

Step 1: Setting Up Rewind Copy

Your first step is to head over to app.rewind.io and log in to your Rewind account. If you don’t have one already, don’t worry; you can set up an account quickly and start a seven-day free trial while you’re at it.

Once you’re logged in, your next step will be to connect the QuickBooks Online File you want to copy from to your Rewind account. This will be your source file.

Click on “Link Account” and select “QuickBooks Online” to get started.

This will bring you to Intuit’s Rewind app page. From here, you can select the source file you want to copy. For our example, we want to copy the file named “Megan’s Magnets,” which we’ll select before clicking “Next.”

From here, click “Connect” to initiate the first backup of the selected file. At this point, if you haven’t selected a plan, you’ll be presented with a screen to select a subscription and enter your payment information or start your 7-day trial.

If you’re not sure your first backup was successful, look at the top-right corner of your screen. If your Rewind app has a button that reads “Backup Now,” your backup was successful. This button will read “Backup In Progress” if it’s incomplete.

Step 2: Create a Destination File

Next, you’ll go back into your QuickBooks Online account and create a new, empty file. This will be the destination file for your copy.

Make sure your destination file has a different name than your source file before you connect it to Rewind. For our example, we’ll be using the destination file “Paige’s Pencils.”

Creating the empty destination file and adding it to Rewind follows a similar process to your source file, so click through your prompts to proceed. This will also authorize the first backup, just like on the source file.

Step 3: Copy Your File

Next, go back to your source file – in our case, Megan’s Magnets – and select the “Copy Data (Beta)” feature. You’ll be asked to select a destination to copy to, which will be Paige’s Pencils in our example.

Once you’ve selected the destination and clicked “Start,” you should see a warning that reads “Copy and Overwrite?” Click “Yes” to confirm you want to proceed, and the copy process will begin.

At this point, Rewind will notify you if there are any issues with your copy, such as setting differences between source and destination locations. If there are no issues, the copy will be initiated, with a notification visible in the top-right corner of your Rewind dashboard.

Step 4: Review Files

Once the copy has been completed, you’ll be emailed a summary of the results, including if any items failed to copy or if any items were skipped.

It’s time to review your destination file to ensure it and the source file are a complete match by reviewing your key financial reports in QuickBooks Online and ensuring they match the source file.

Once you’ve reviewed your files, you’re done! It’s that easy.
